This Privacy Policy explains how BigmindSofttech ("BigmindSofttech", "we", "us") collects, uses, stores and protects personal data when you visit bigmindssofttech.com (the "Site") or contact us through it.

1. Who we are

BigmindSofttech is a digital technology and marketing business based at Airwing, Lilongwe, Malawi. You can reach us at contact@bigmindssofttech.com or support@bigmindssofttech.com for any privacy question or request.

2. What personal data we collect

We keep this deliberately minimal. The only personal data we collect through the Site is what you choose to give us in the contact form:

• Your name
• Your email address
• The subject and message you type

We do not require you to create an account, and the Site does not run analytics, advertising, or tracking scripts of any kind. We do not collect payment card details on the Site. Client payments for services are arranged separately, outside the website.

3. How we use your data

We use the information you submit through the contact form solely to:

• Respond to your enquiry;
• Discuss and, if you choose, deliver the services you asked about;
• Keep a reasonable record of business correspondence.

We rely on your consent (given via the checkbox on the contact form) and, once a conversation is underway, our legitimate interest in managing that business relationship, as the basis for this processing. We do not use your data for automated decision-making, profiling, or marketing emails you haven't asked for.

4. How your data is stored

The contact form does not save submissions to a database on our server. When you submit it, the message is sent by email (via Gmail/Google Workspace) directly to our team inbox, with your email address set as the reply-to address. From that point, your message is stored as an email in our inbox, protected by our email provider's standard account security, for as long as reasonably necessary to handle your enquiry and keep a business record (typically no longer than 24 months unless a longer period is needed for an ongoing client relationship or a legal reason).

5. Who we share it with

We do not sell, rent, or trade your personal data. We share it only with:

• Google / Gmail: the email provider that delivers contact-form messages to us. Google processes this data under its own privacy policy.
• Law enforcement or regulators: only if we're legally required to disclose information.

If you message us on WhatsApp, Instagram, Facebook, TikTok or LinkedIn instead of the contact form, that conversation is also subject to that platform's own privacy policy, since we don't control how they handle it on their end.

6. Cookies and the Google Maps embed

The Site does not set any advertising or analytics cookies. The only third-party embed is a Google Maps location map, which is not loaded until you actively consent to it (via the cookie banner or the "Load map" button). See our Cookie Policy for full details.

7. International data transfers

Because we use Google Workspace/Gmail, your message may be processed on servers located outside Malawi (including in the United States or European Union). Google maintains its own safeguards for cross-border transfers, described in its privacy policy linked above.

8. Your rights

Depending on where you're located, you may have rights to access, correct, delete, or restrict the personal data we hold about you, to object to our processing, to receive a copy of it in a portable format, and to withdraw consent at any time. We aim to honor these rights for every visitor, regardless of location, on a best-efforts basis. To exercise any of them, email contact@bigmindssofttech.com. We'll respond within a reasonable time. If you're not satisfied with our response, you may also have the right to lodge a complaint with your local data protection authority.

9. Children's privacy

The Site and our services are intended for businesses and individuals aged 18 or older. We do not knowingly collect personal data from children.

10. Security

We apply reasonable technical and organizational measures to protect the data we handle, including rate-limiting the contact form to reduce abuse and avoiding unnecessary server-side storage of submissions. No method of transmission or storage is 100% secure, but we work to keep data collection minimal so there is less to protect in the first place.

11. Changes to this policy

We may update this Privacy Policy from time to time, for example as our services or the tools we use change. The "Last updated" date at the top will reflect the latest revision. Material changes will be reflected on this page.
