Refund Policy
Last updated: 13 September 2026
1. Deposits
Most projects require a deposit before work begins (the exact amount, commonly around 50% of the project fee, is stated in your quote or invoice).
- If you cancel in writing before we've started any work on your project, your deposit is refunded in full.
- Once work has started, the deposit becomes non-refundable: it covers time, planning, and resources already committed to your project.
2. Remaining balance and completed work
The final balance is due on delivery or as set out in your invoice. Amounts paid for work that has been delivered and approved are non-refundable. If you're not satisfied with a specific deliverable, tell us. We'll work with you on reasonable revisions within the scope originally agreed before treating a project as final.
3. Ongoing services (retainers, ad management, social media management)
Services billed on a recurring basis (e.g. monthly social media management or ad management retainers) are billed in advance for each period. You can cancel an ongoing service at any time by giving written notice (see your service agreement for the required notice period); we don't refund the portion of a billing period during which work has already begun.
4. Advertising spend
Where we manage paid ad campaigns on your behalf, any ad spend budget is paid to the advertising platform (e.g. Meta, Google, TikTok), not to us, and is governed by that platform's own refund rules. We cannot refund money already spent on ads. Our management fee for that work follows the general terms in this policy.
5. Exceptions
If we fail to deliver services as agreed in your project document, or cancel an engagement ourselves without cause, we'll discuss a fair refund for any undelivered portion on a case-by-case basis.
6. How to request a refund
Email contact@bigmindssofttech.com with your invoice or project details. We'll confirm what applies to your case within a reasonable time.
7. Governing law
This policy is governed by the laws of the Republic of Malawi, consistent with our Terms & Conditions.
